We pride ourselves in following an organized Project Workflow to keep your Project moving forward.

Our services proceed in Phases.   The phases are sequential, and they build on the work completed and agreed to in each preceding phase. We start with the general concepts and refine the design to be very specific. There’s a lot of decisions along the way and this gradation organizes those decisions into manageable portions.   Due to the large amount of coordination with all team members, the timeline will be fluid as schedules will vary based on when we receive approval of each phase to proceed with the next.

The Phases described below will serve as a guide to completing the Project.

Please be aware that attempting to expedite or circumvent the Project Workflow may result in delays and additional fees later in the Project.

PROJECT WORKFLOW

  • SCOPE OF WORK PHASE

    1. Client completes a Request for Proposal Form(RFP) and provided us site information and a Program.

    2. We will set up a Scope of Work Meeting to review the RFP and complete a Scope of Work.

    3. We may recommend Consulting Engineers as needed.

    4. We will complete and email a Service Agreement based on the Information provided by the RFP, the Program, and Scope of Work Meeting.

    5. Service Agreement will include the following:

    ○ Service Agreement

    ○ Scope of Work

    ○ Service Fee Estimate

    ○ Introduction: Design Services

    ○ Project Workflow & Service List

    ○ Terms and Conditions

    6. After the Service Agreement is approved, the Client must submit a ‘signed’ copy to our office via email or mail.

    7. Our accounts department will email the Client an invoice for the retainer payment. Refer to Payments.

    8. Work will start after receipt of the retainer payment.

    9. A Project Manager will be assigned for all communications to ensure Project Workflow is being followed.

    10. Allow 1-2 weeks for reviewing and gathering the project information required to provide a Service Agreement.

  • PRE-DESIGN PHASE

    A variety of Services may be required before starting the design of any project.

    If this information cannot be provided, we may recommend or offer Pre-Design Services below.

    It is the Client's responsibility to provide the following:

    • Survey

    • Existing Conditions Site Plan

    • As-Built Plans

    • Field Measurements

    • Program

    • Fixtures, Furnishing, and Equipment List with all Specifications.

    We are not permitted to edit CAD files or PDF files of plans created by others, therefore we will need to model the existing conditions prior to the start of Schematic Design.

    Allow 2-4 weeks for Pre-Design work and Client Approvals.

  • SCHEMATIC DESIGN PHASE

    We will use the Scope of Work and Program provided to bring your vision to life.

  • CONSTRUCTION DOCUMENT PHASE

    Most local codes and ordinances must approve Architectural and Engineering Plans prior to the start of any construction.

    These plans will give the local authority a chance to review your project for code compliance and provide approval of a building permit.

    Additional Fees may be required if Approved Schematic Design differs than the originally Approved Scope of Work.

    The Client must provide the delivery method prior to start of this phase and if they plan bid to multiple General Contractors to determine extent of plans and details needed.

    Final Plans will be provided for Client approval prior to submitting for Building Permits.

    Allow 4-8 weeks for drawing creation, code reviews, and researching.

  • CONSULTANT/ENGINEERING PHASE

    Outside consultants are required for most projects and may require additional fees not included in the Service Agreement.

    The Client may choose to contract out-side consultants directly however an additional fee will be required to coordinate plans.

  • PERMITTING PHASE

    The Client is responsible for completing Permit Applications, paying any associated fees, and submitting to the local authority having jurisdiction (AHJ).

    We may assist the Client with approvals if they need assistance.

    Communications with the AHJ will be subject to additional fees unless otherwise specified in the Service Fee Estimate.

    This is not a permit expediting service; however, we recommend the Client contract a Plan Expeditor.

    If required, plans can be printed and/or shipped and will be added to invoices. (Refer to Terms and Conditions for additional fees).

    When received, plan review comments must be submitted, via email, directly to your Project Manager (PM) for any plan revisions.

    We will implement plan review revisions and provide them to you, and you can print and re-submit as needed.

    Upon Approval of the Permit, you can obtain your permit and start construction.

    Allow 2-8 weeks for local authority reviews.

  • CONSTRUCTION ADMINISTRATION PHASE

    Services are not over after you receive the Building Permit.

    Any work after the Permit is approved will be invoiced at hourly rates unless otherwise noted in the Service Agreement.

    During Construction, we may need to respond to Requests for Information (RFI), review Shop Drawings submitted for review or approval, provide on- site meetings, review unforeseen conditions, or provide additional detailing. To avoid delay, work may proceed without your prior approval.
